General travel conditions

Customers of Fair Track Safari must read and understand this section on our general travel conditions. If there is anything that gives rise to questions or you are in doubt about, you must contact us.

Fair Track Safari assumes that all travelers at the time of booking (payment of the first installment of the trip) have cancellation insurance among their private insurances or take out one. We can be helpful in taking out cancellation insurance for you through Europæiske ERV Rejseforsikring, with which we have an agent collaboration. Please note that the cancellation insurance that covers your trip cannot be taken out later than at the time of booking. It must cover you in the event that you are forced to cancel your trip due to an acute illness or death in the immediate family.



The Package Travel Appeal Board calls on all travel agencies to make their travelers aware that if disputes or objections to deficiencies arise during the trip, the traveler must contact the agency immediately with a view to rectification. Otherwise, the deficiency objection may be waived.

Registration and payment conditions

Registration is binding for the customer when booking the trip. The time of booking is the time when the submitted offer is accepted by paying the first installment of the journey. If it is not possible for Fair Track Safari to confirm the order, the customer's obligation ceases until any revised content is accepted by the customer.


Payment for the journey is normally made in two instalments, except where there are less than 65 days to departure at the time of booking. In this case, full payment of the trip will usually be required. If there are more than 65 days until departure, the payment will be in two installments of 50% each. Most often, airline tickets are issued immediately and payment is made to business partners immediately. It will not be possible to get a refund of the deposit.



The date of payment is stated on the invoice(s) which are sent at the same time as confirmation of the journey.

Cancellation/change

The customer has the right to cancel the trip under the conditions below, unless it is stated at the conclusion of the agreement that other cancellation conditions are the basis for the arrangement. This will be stated on the invoice.



When canceling a trip that is not covered by cancellation insurance, the following rules apply:


1. In case of cancellation before the date for payment of the balance, the customer cannot be charged the balance. Depending on payment agreements with partners and airlines, the customer should not expect a refund. Fair Track Safari will do what they can to refund what they can get back, however a minimum of 20% of the value of the trip will be lost, and maybe even 50%. We do what we can to be fair.


2. In case of cancellation later than the date of payment of the balance and before the time of departure, the amount paid for travel insurance will be refunded in full. Cancellation fees from subcontractors in connection with airline tickets, hotel reservations, safaris, transport and the like as well as Fair Track Safari's administration fee are deducted from the amount paid. The costs listed above are a minimum of 25% of the price of the trip and a maximum of the price of the trip.


3. Cancellation insurance cannot be canceled once it has been taken out. However, the travel insurance can be reimbursed.


4. Cancellation of a trip can only be done in writing.


5. A journey that has begun cannot be refunded.

Cancellation protection in case of illness

If cancellation insurance has been taken out when ordering, this means that the customer can cancel the trip and have the amount paid refunded without any deductions other than the price of the insurance itself. However, it is a condition that it is documented by means of a medical certificate that the customer himself, or others covered by the insurance, are affected by an acute illness, accident or death, which makes participation in the trip impossible or significantly difficult. In addition, the cancellation insurance applies if it is documented with a police report or similar that, immediately before departure, significant damage has occurred due to a burglary in the customer's private residence or own business, or other serious criminal act.


The travel organizer must have full documentation of the reason for the cancellation in hand no later than 7 days from the cancellation date, otherwise the right to a refund is waived. The cancellation insurance is only valid if the illness was not known at the time of ordering. The insurance costs 6% of the price of the trip, and the detailed conditions are attached to the travel confirmation if the insurance has been ordered from Fair Track Safari. The conditions can of course also be requested prior to the order.



If the insurance was taken out elsewhere than through Fair Track Safari, you must immediately contact the relevant insurance company where the insurance was taken out, and then contact the travel company.

The flight and special tickets

Almost all airline tickets used in connection with our package tours are associated with a number of restrictions, e.g. in terms of change of travel route, change of return date and length of travel. Most of these restrictions do not affect ordinary tourist travel. If, however, you require the least flexibility in relation to the itinerary received from us in connection with the order, then this must be communicated to the agency and stated on the invoice.



Unused flights in connection with package tours are normally not refundable.

Correct name on the plane ticket!

It is extremely important that Fair Track Safari gets all travelers' names exactly as in the passport, as well as correct dates of birth for travelers under 12 years of age. This information must be used for booking a flight ticket. Errors or changes may lead to the loss of the flight reservation or to the possibility that a considerable fee must be paid, which will be imposed on the traveler.


At the latest when booking the trip, we MUST receive the travel participants' names as written in their passports. Attempts to subsequently change may result in the flight reservation being lost or a change fee having to be paid to the airline. Any fees are disclosed and added to the price of the trip.

Subsidiarily, general cancellation conditions apply. This very fact is part of the contractual basis for the purchase of the trip, and additional costs or the inability to restore the flight reservation do not mean that the customer has the right to cancel the purchase. Some flight reservations in connection with overseas travel must be reconfirmed no later than 72 hours before the return journey. This does not apply to departures from Denmark. Reconfirmation can be done at all local travel agencies or by contacting the airline directly. In connection with all package tours, our local representative carries out this reconfirmation, unless otherwise stated in the departure information.

Price changes

Fair Track Safari reserves the right to any price increases after travel booking. These may be changes in transport costs, including fuel prices, taxes, charges or fees, exchange rates or other circumstances that we are not able to take into account in our offer. Since we mainly pay our partners in USD, it may be necessary to adjust the offer in both an upward and downward direction. However, never more than a maximum of 8% of the original offer. If the customer has paid the full amount, there will be no post-adjustment. If 50% of the payment is missing, 50% of the amount will be adjusted later.

Pass & visa

Participants are required to ensure that their passport is valid for a minimum of 6 months from the planned return date. All participants are obliged to arrange for visas for the countries in question themselves, if this is required. If the customer is turned away at the border or in transit because the traveler does not have the correct visas, Fair Track Safari disclaims any responsibility. In some countries, upon entry you must be able to present a valid plane ticket for the return journey or be able to document that you have the necessary funds to stay in the country and to pay for the return journey.

Vaccination requirements

Fair Track Safari would like to inform you about vaccination requirements in connection with their travel destinations, but the traveler must contact their doctor or the Danish Doctors' Vaccination Service, who provide vaccinations as directed by the Statens Serum Institut. At certain destinations you must be able to document that you have the vaccinations and you must therefore bring a valid vaccination card.

insurances

All travelers with Fair Track Safari must have taken out and be covered by travel insurance for the journey. Travel insurance must cover cases of illness and transport home. We offer all our traveler insurances through Europæiske ERV Rejseforsikring. It is the traveler's own responsibility to be adequately insured in all respects in connection with the trip, including that cancellation insurance in the event of illness is comprehensive from the time the trip is booked.

The consumer's responsibility

Participation on trips with Fair Track Safari requires that you are familiar with and agree to the information received in connection with sending the invoice, practical travel tips and itinerary, and finally our travel documents, which are sent around 10 days before departure, containing airline tickets, possibly travel insurance etc

Complaint

Any complaints must be made to our local representative immediately after the traveler has discovered the defect, with a view to remedying it on the spot. If it is not resolved within a reasonable time, the customer must contact Fair Track Safari so that we can act to correct the problem. Fair Track Safari can be contacted via the emergency telephone, which is manned around the clock. Failure to do so will normally, according to Danish jurisprudence, result in the loss of the right to later demand compensation. However, this does not apply if the travel agency has acted contrary to common decency or gross negligence. If a complaint is rejected by the agency, you can contact the Travel Appeals Board.
